The Missouri Mental Health Foundation (MMHF) is seeking a dynamic, highly motivated individual to join the team located in Jefferson City, Missouri. MMHF a non-profit organization established to provide a singular focus on raising awareness and public understanding of the many issues impacting individuals and families living with mental illness, developmental disabilities, and substance use disorders. The MMHF Administrative Assistant is responsible for providing administrative support to ensure efficient daily operation of the office. This position will support the team through carrying out administrative duties such as answering phones, scheduling, and providing information to the public with general questions and requests. The Administrative Assistant is a full-time position reporting to the Executive Director and providing support to both the ED and the Community Engagement Coordinator.

Roles and Responsibilities:
- Answer phone calls, open and sort mail, schedule meetings, and support visitors.
- Assist the public with general questions and requests and provide them with appropriate resources.
- Carries out administrative duties such as filing, typing, scanning, filing, etc.
- Make travel arrangements for staff including hotel reservations and exhibit registrations.
- Assist in cultivating collaborative relationships to promote participation of events and awareness of the Foundation and its mission, such as contacting businesses and organizations to engage potential event sponsors or donors.
- Ensures operation of equipment by completing preventative maintenance requirements, calling for repairs, and maintaining equipment inventories.
- Monitor and maintain mental health resource pamphlets for MMHF, ensuring materials are updated and ready for exhibiting. Order resources as needed.
- Assist with MMHF events including coordinating planning meetings, operating registration, ensuring the timeline is followed and deadlines are met, and supporting the team with external communications.
- Update event correspondence and forms related to event announcement as needed.
- Schedule all Board and subcommittee meetings virtually and send out all Board correspondence as determined by the Director.
- Take minutes at the Board meetings, and update the Board roster, matrix, and member contact information.
- In the absence of the Community Engagement Coordinator, provide on-site educational materials on mental illness, developmental disabilities and substance use disorders at conference, resource fairs, schools, meetings, etc.
- Assists staff with implementing marketing and educational/awareness projects, including public relations, fundraising, special events management, advertising, and brand awareness.
- Supports team and completes special projects as assigned by the Director.
Qualifications and Experience:
- Professional experience with mental health is preferred.
- Applicant must hold a high school diploma or equivalent.
Expectations:
- Ability to lift and carry 25 lbs.
- Punctuality and dependability are a must.
- Proficiency in administrative duties such as typing, filing, copying, etc.
- Applicant must be proficient with technology including Microsoft office programs.
- Possess a strong understanding of customer service concepts.
- Excellent writing, verbal, and written communication skills.
